In this notice, whenever you see the words “we”, “us”, “our” it refers to Bream Gardening Society (BGS)
The privacy and security of your personal information is extremely important to us. Bream Gardening Society collects, processes and use your personal information strictly in accordance with the UK Data Protection Act 2018 and the UK General Data Protection Regulations (UK GDPR).
This privacy notice explains what personal information we collect about you and how it is used.

What personal information do we hold about you?
The personal information that we hold about you is used to help us manage and run Bream Gardening Society
We will only collect the information about you that we need. Personal information that we collect includes

  • full name
  • postal address
  • email address
  • telephone number

When and how do we collect personal information about you?
We collect information about you when you register with us using our application form or online form.
Your data will be held whilst you are a paid-up member of the society but removed within eight months of non-payment of memberships fees.

How will we use the personal information about you?

We will use the information you provide to send you information about BGS activities, events and newsletters.

Photographs

Photographs may be taken at society events. At events attended by large crowds within a public area, where requesting individual consent is impractical, signage will be displayed at the entrance and at other points at the event about photography/filming with summarised purposes of use, and people you can contact if you do not want to be photographed/filmed. At smaller events organised by BGS verbal or written consent will be requested before photographs are taken and their use explained. You have the right to decline use of your image to represent BGS events. Unless you make this request it is assumed that you agree that your image can be used for such promotions.

Who we share your personal information with

We do not share your information or sell your information to any other organisations. However, photographs illustrating events maybe used on our Facebook page or in publicity to promote BGS.

How we store your information

When you complete an application form to join BGS your personal information will be kept by the Secretary for use for information purposes. Information will be stored on a secure database and your details will be removed once you cease to be a member of BGS.

When you use our contact form the form sends your information to our Secretary by email. Your information is not stored online. Our Secretary will act upon your email in a timely manner. Your email may be need to be discussed at our monthly meeting, so you may not receive an immediate reply as all of our members are volunteers. If your email is not relevant to us, it will be deleted. If it is relevant our Secretary may need to keep it until the questions or points you raise are resolved.

When you complete a show entry form, your details and classes entered will be recorded for the purposes of running the event. After the event names of place and cup winners will be retained as a historical record of BGS events.

Right of access

You have the right to request a copy of the personal information that we hold about you at any time. If you would like a copy of some or all of your personal information, please contact us using the ‘contact us’ form on the website.

We may update this Privacy Notice to ensure that it remains up to date and incorporate any new legal requirements.
